Introduction

Vibechat provides a web-based AI Front Desk for small businesses. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have. We've kept this policy short and direct on purpose. If anything is unclear, contact us at info@vibechat.ai.

This policy applies to information we collect through vibechat.ai, our subdomains, and the AI Front Desk experiences hosted at vibechat.ai/chat/[business-slug].

1. Information We Collect

We collect three categories of information.

Information you give us when you create or use a Vibechat account.

This includes your name, email address, business name, business address, and the business information you provide or that we gather from your public web presence to train your AI Front Desk (such as your services, hours, and policies). If you upgrade to a paid plan, we collect billing details through our payment processor; we do not store full payment card numbers on our systems.

Information generated when you or your customers use the Services.

This includes the messages exchanged through your AI Front Desk, configuration changes you make in your dashboard, and basic technical information needed to operate the service (such as IP address, browser type, device type, and timestamps of activity).

Information from cookies and similar technologies.

We use a small number of cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are being used so we can improve them. We do not currently use cookies for cross-site advertising.

2. How We Use Information

We use the information we collect to:

  • Operate, maintain, and secure the Services.
  • Train and run the AI Front Desk for the business that created it, using only that business's own information and conversations.
  • Provide customer support and respond to your requests.
  • Send you account-related communications (such as billing notices, security alerts, and material changes to our policies).
  • Improve the Services through aggregated and de-identified analysis of usage patterns.
  • Enforce our Terms of Service and comply with applicable law.

AI model training.

We do not use the content of customer conversations to train AI foundation models. Conversations sent through your AI Front Desk are used to operate that AI Front Desk and to provide service to your business — not to train models offered to anyone else.

3. How We Share Information

We share information only in the limited circumstances described below.

Service providers.

We share information with vendors that help us operate the Services — for example, our payment processor, our cloud infrastructure providers, our email delivery provider, and the providers of the AI models that power the AI Front Desk. These vendors are bound by contract to use the information only to provide services to us.

Legal and safety reasons.

We may share information when we reasonably believe it's necessary to comply with a law, regulation, legal process, or enforceable governmental request, or to protect the rights, property, or safety of Vibechat, our users, or the public.

Business transfers.

If Vibechat is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will provide notice before information is transferred and becomes subject to a different privacy policy.

With your direction.

We share information when you ask us to or otherwise direct us to do so.

Aggregated or de-identified data.

We may share information that has been aggregated or de-identified so that it can no longer reasonably be used to identify you.

We do not sell personal information.

4. How Long We Keep Information

We keep the information described in this policy for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. When you close your Vibechat account, we delete or de-identify your account information within a reasonable period, except where we are required to retain it for legal, accounting, or security reasons.

5. Security

We use commercially reasonable technical and organizational measures to protect the information we collect. No system is perfectly secure, however, and we cannot guarantee that information will never be accessed, disclosed, altered, or destroyed in a way that breaches our safeguards. If we become aware of a security incident affecting your information, we will notify you in accordance with applicable law.

6. Your Choices

You can review and update most of your account information directly in your Vibechat dashboard. You can request to close your account at any time by contacting info@vibechat.ai. Depending on the laws of the place you live, you may have additional rights with respect to your personal information — such as the right to access, correct, delete, or receive a copy. To exercise any of these rights, contact us at info@vibechat.ai and we will respond as required by applicable law.

7. Geographic Scope

The Services are offered to businesses located in the United States. If you access the Services from outside the United States, you do so on your own initiative and are responsible for compliance with applicable local laws.

8. Children

The Services are not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact info@vibechat.ai and we will take steps to delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of the policy. If we make material changes, we will provide additional notice — for example, by emailing the address associated with your account or posting a notice on the Services. Your continued use of the Services after the changes take effect means you accept the updated policy.
